Are you a CPA firm, and who actually signs off on the work?
We aren’t a CPA firm, and we won’t imply otherwise. We don’t perform audits, reviews or other attest engagements, because those are reserved to licensed CPA firms. What we do is keep the books, close the month and produce your reporting, working alongside whichever CPA or Enrolled Agent handles your filings. One of our partners is an Enrolled Agent, a federal credential issued by the IRS and earned by examination, and a qualified accountant reviews and signs off on every close before your month is called done. The platform shows you who handled which task, so the sign-off is something you can see rather than something you take on faith.
Do I lose my books if I leave?
You own them, and leaving is genuinely easy. We work inside your own QuickBooks or Xero file, under your subscription and your login, instead of copying your ledger into a platform you would later have to escape. Cancel and we simply lose access. Nothing needs exporting, nothing needs migrating, and your records never sit anywhere but with you.

How long does onboarding take?
Most firms are fully onboarded in about five business days. We connect QuickBooks or Xero, handle the migration, and assign your team. If your books need catch-up, a one-time cleanup follows onboarding so monthly service starts from a clean baseline.
My books are behind or messy. Can you fix that first?
Yes. Behind (catch-up) and wrong (cleanup) are different problems, and most new clients have both, so we build it in as a first step. We catch up missing periods, reconcile accounts, fix miscoded transactions, remove duplicates, clear suspense and Undeposited Funds, review AR/AP, and correct balances. Cleanup engagements start at $750 and are finalized as a fixed quote from your free diagnostic. Pricing reflects how many months you are behind, transaction volume, complexity, and the condition of your balance sheet. It is never open-ended hourly billing.
Do the visibility features cost extra?

What is the difference between bookkeeping and month-end close?
Bookkeeping records the activity: categorizing transactions and keeping the ledger current. Month-end close verifies it. Reconciliations are completed, journal entries and accruals are posted, schedules agree with the books, and the financial statements are reviewed before the period is locked. Bookkeeping keeps the data flowing; the close makes the reports trustworthy enough to make decisions on.
How do I know if my books are actually up to date?
Usually you have to wait for a month-end report and take it on faith, because the work itself was never tracked anywhere you could check. With OnNumbers you watch the month-end close progress in real time, get a daily AI Pulse summary of what changed, and see open items and findings as they surface. You always know exactly what is done, what is pending, and what is waiting on you.
When should a startup move from cash to accrual accounting?
Usually when you raise institutional capital, sign annual or multi-year contracts, carry meaningful deferred revenue, or need GAAP-aligned statements for investors, lenders, or an audit. Accrual accounting matches revenue and expenses to the period they belong to, which is what boards and diligence processes expect. We help make that transition and maintain the schedules it requires.
Do you use AI, or real accountants?
Both, by design. AI does the heavy lifting: daily analysis, anomaly detection, classification suggestions, and instant answers through Ask AI. That frees our accountants to spend their time on judgment, review, and advisory. Every close is reviewed and stood behind by a person. The technology makes the work faster and more transparent; it does not replace the accountant.
How is my financial data protected?
Financial data is encrypted in transit (TLS) and at rest on U.S.-based cloud infrastructure. Access is limited to your dedicated team through role-based controls, with monitoring and vendor security reviews. We minimise personal information submitted to AI service providers and apply data-reduction, access-control and de-identification measures where technically appropriate. Details are on our Privacy Policy and Subprocessors pages. We notify affected parties of security incidents as required by law.
